Job Overview:
The Personal Assistant to the President Director provides high-level administrative, organizational, and coordination support to ensure the smooth and effective operation of the President Director’s daily activities. This role acts as a key liaison between the President Director and internal teams, external partners, and stakeholders, while
maintaining strict confidentiality and professionalism.
Key Responsibilities:
- Manage and coordinate the President Director’s daily agenda, including meetings, appointments, travel arrangements, and business schedules.
- Act as the primary point of contact between the President Director and internal departments, shareholders, clients, suppliers, and external stakeholders.
- Prepare, review, and organize correspondence, reports, presentations, and briefing materials for meetings, board sessions, and strategic discussions.
- Monitor and follow up on action items, decisions, and deadlines arising from executive and management meetings to ensure timely execution.
- Handle confidential and sensitive information with a high level of discretion and professionalism.
- Coordinate executive meetings, board meetings, and company events, including agenda preparation, minute-taking, and documentation control.
- Support strategic initiatives and special projects by conducting basic research, compiling data, and preparing summaries for decision-making.
- Assist in internal communication by aligning directives from the President Director with relevant departments and ensuring clarity of instructions.
- Maintain organized filing systems (physical and digital) for executive documents, contracts, and corporate records.
- Provide ad-hoc administrative and operational support as required to ensure smooth executive operations.
Qualifications & Experience:
- Bachelor’s degree in Business Administration, Management, Communication, or a related field.
- Strong organizational and time-management skills with the ability to handle multiple priorities effectively.
- Excellent written and verbal communication skills in English and Bahasa Indonesia.
- High level of integrity, discretion, and professionalism when handling confidential matters.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.
- Strong coordination and interpersonal skills, able to interact with senior management and external parties.
- Ability to work independently, proactively, and under pressure in a fast-paced environment.
- Attention to detail with a structured and systematic working approach.
Core Competencies:
- Minimum 3-5 years of experience as a Personal Assistant, Executive Assistant, or similar role supporting senior management or directors.
- Prior experience supporting a President Director, CEO, or Board of Directors is strongly preferred.
- Experience in a manufacturing, industrial, or multinational corporate environment is an advantage.
- Proven experience in handling executive-level schedules, board documentation, and confidential information.
- Exposure to strategic planning support, project coordination, or corporate governance activities is a plus.
