Job Title: Admin & Operation Supervisor
Reports To: General Manager
Summary:
The Admin & Operation Supervisor is a key role responsible for the efficient and effective day-to-day administrative and operational functions of the company. This role involves supervising a team of Sales Administrators and IT personnel, managing sales orders and reports, overseeing company operations (including restocking, hardware management, event support, company purchasing, and product stock inventory), and acting as a primary liaison with the headquarters (China) factory. The ideal candidate will be a highly organized, detail-oriented, and proactive individual with excellent communication skills and the ability to speak Chinese (Mandarin).
Responsibilities:
- Sales and Customer Support:
- Manage and maintain the product price list, ensuring accuracy and timely updates.
- Handle customer inquiries promptly and professionally, providing excellent customer service.
- Supervise the Sales Administration team, ensuring efficient processing of sales orders, generating sales reports, and maintaining accurate sales records.
- Oversee the handling of sales orders from inception to completion, including order processing, confirmation, and coordination with logistics.
- Generate and analyse sales reports, providing insights and recommendations to management.
- Operations Management:
- Manage daily operations, ensuring smooth workflow and efficient resource utilization.
- Oversee restocking processes, including inventory management, stock level monitoring, and coordination with suppliers.
- Manage company hardware, including procurement, maintenance, and inventory control.
- Coordinate and support company events, ensuring seamless execution and logistics management.
- Monitor and follow up on order logistics status, proactively addressing any potential delays or issues.
- Provide proactive suggestions and recommendations to management for process improvements and operational efficiency.
- Handle company purchasing, including sourcing suppliers, negotiating prices, placing orders, and managing procurement processes.
- Handle product stock inventory, including receiving, storing, and tracking inventory levels, and generate inventory reports.
- Logistic Supervision
- Liaison and Communication:
- Act as the primary liaison with the headquarters (China) factory, facilitating clear and effective communication.
- Support the General Manager with Chinese (Mandarin) language translation and interpretation, ensuring accurate and efficient communication.
Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, or a related field preferred.
- Proven experience in administrative and operations roles, with supervisory experience.
- Experience in handling purchasing and procurement processes.
- Experience in managing product stock inventory.
- Excellent organizational, time management, and problem-solving skills.
- Strong communication and interpersonal skills.
- Fluency in Chinese (Mandarin) is essential.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with inventory management systems and CRM software is a plus.
- Ability to work independently and as part of a team.
- Strong leadership skills and the ability to motivate and manage a team.
- Detail-oriented with a high degree of accuracy.
- Proactive and able to take initiative.
