General Affairs/Admin Assistant Officer, Construction (Jakarta)

Job Position: GA/Admin Assistant Officer
Job Location: South Jakarta
Responsibilities:

  • Manage day-to-day all administrative tasks to ensure the smooth operation of the project office
  • Ensure, Procurement & Control of Office’s Facilities in good condition/in stock: Stationery, Photocopy, Meeting Room, Business Card & Office Desk Etc.
  • Ensure, Procurement & Control of Office’s Pantry Supply in good condition/in stock: Water, Sugar, tea, coffee, afternoon snack, Etc.
  • Coordinate with vendors and service providers for office maintenance and other administrative services.
  • Organize and schedule meetings, appointments, and events, preparing necessary materials and taking minutes when required.
  • Coordinate with travel agents for new/renewal of Expatriate VISA/KITAS arrangement
  • Ticketing & Hotel Arrangement
  • General Administration; Managing documents, correspondence and filling
  • Expatriates Support; apartment/housing, facilities & utilities (water, internet, electricity, gas, pest control etc.
  • Fleet Management; Daily coordination with driver and user, Bluebird’s user usage control
  • Petty Cash
  • Operational Cost Control
  • Incoming Invoices Checking
  • Company Event arranging
  • Site and other facilities supervision
  • Coordinate with vendor

Qualifications:

  • Bachelor’s of Management, General Affair, Administration, Accounting, Finance,
  • Minimal 3-5 years experience in General Affairs/Administration role (preferably in Construction company),
  • Fluent in English, Commercial Negotiation Skills, Detail Oriented, Multi-tasking and proficiency in Microsoft Excel and Microsoft Word.
