Office Manager (Finance, General Affairs, Human Resources) – Investment Company
About Our Client
Currently we are working on behalf of Investment Company and looking for Office Manager with Finance, General Affairs, and Human Resources experience.
Requirements
- 8 years experience in handling General Affairs, Human Resources, and Finance
- Bachelor degree in any background
- Understand BPJS, taxation, and general affairs in office
- Knowledge of Human Resource and Indonesian labor law
- Can build excellent communication between departments
- Good interpersonal and analytical skill
Responsibilities
Office / GA Related
- Supervise all administrative jobs in the office (including but not limited to organizing meetings for the directors, managing their journal, booking overseas travel and accommodation, incoming and/or outgoing courier and mails, pantry supplies)
- Maintain and upkeep office equipment’s (consist of IT infrastructure & network connection)
- Maintain and upkeep office cars (including renewal of car permit)
- Maintain health and safety protocols (consist of regular swab test, pest control)
- Contact person with office building management
- Assist in organizing office events (including annual investors meeting)
- Liaise with hotels (for guests accommodation in Jakarta and/or office events)
- Supervise office boys and drivers
HR & Payroll related
- Cooperate with tax consultant to process monthly payroll and BPJS payments
- Cooperate with tax consultant for employee annual withholding tax return
- Review timesheet of office boys and drivers
- Maintain employees records up to date (including annual leave records)
- Contact person for staff medical insurance with insurance company
Finance and tax related
- Prepare for all payments (including staff expense claims) via e-banking and/or by cheque. This includes payments for the the company + some other smaller investment entities.
- Prepare the payment vouchers with supporting documents for Finance review.
- Prepare bank movement summary detailing out the payments made and file the payment vouchers and supporting documents
- Maintain bank accounts (monthly bank statements and open new bank accounts when necessary)
- Maintain petty cash payments and supporting documents
- Process FX transaction (USD/IDR) with banks
- Liaise with tax consultant to process monthly tax payment and filing (VAT and withholding taxes)
- Contact person with virtual office providers for some other investment entities
